This Privacy Policy explains how we collect, use, share, and protect information about you when you use our website at thetradeagent.com, mobile applications, and related services (collectively, the "Services").

Our mission is to relieve administrative burden while fostering trust and transparency. Protecting your data is fundamental to that mission. We believe your business information belongs to you—we're simply trusted custodians helping you run your business more efficiently.

• Payment card and bank details (processed securely through Stripe—we never store full card numbers)

Google Calendar Integration

Trade Agent offers an optional two-way Google Calendar sync. This section describes how we handle Google user data, in addition to the practices described elsewhere in this policy.

This integration is entirely optional. Trade Agent is fully usable without connecting a Google account, and you can disconnect at any time.

What we access

When you choose to connect your Google account, we request the https://www.googleapis.com/auth/calendar scope. We use it to read events from the calendars you select, and to create and update events on your primary calendar that correspond to appointments scheduled in Trade Agent. We request this scope rather than a narrower one because the integration is genuinely two-way, and because listing your calendars — so that you can choose which ones to import — requires it.

What we store

We store the events we read from the calendars you select, including title, description, location, start and end times, recurrence rules, time zone, and attendee information as returned by Google. We also store an encrypted Google refresh token so that the sync can continue without asking you to sign in repeatedly. Tokens are encrypted at rest using AES-256-GCM, are cryptographically bound to your specific account record, and are never written to logs.

How we use it

Google Calendar data is used solely to provide the scheduling features you see in the product: displaying your schedule, detecting conflicts when assigning crew, including your day in your daily brief, and answering your own questions about your schedule through our in-app assistant.

Automated processing

If you use our AI assistant or daily brief features, the relevant calendar entries may be sent to our AI provider in order to generate a response for you. This processing happens only to answer your own request. We do not use Google user data to train, retrain, or improve any generalized artificial intelligence or machine learning model.

What we never do

We do not sell, rent, or trade Google user data. We do not use it for advertising. We do not share it with third parties except the infrastructure and AI providers described in this policy, who process it on our behalf under contract. We do not send calendar invitations or notification emails to anyone on your behalf.

Visibility within your organization

Appointments created in Trade Agent are visible to your organization. Events imported from your personal calendar are marked private by default — other members of your organization see only that you are busy at that time, never the title, location, or details.

Retention and deletion

You can disconnect Google Calendar at any time from Settings → Integrations. Disconnecting immediately revokes our access token with Google and stops all syncing. At that point you choose whether to keep or delete the events previously imported into Trade Agent. Deleting your Trade Agent account removes all imported calendar data within 30 days. Disconnecting never deletes anything from your Google Calendar.

Compliance

Trade Agent’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Legal & Safety Requirements

We may disclose information if required to:

• Protect the rights, property, or safety of Trade Agent, our users, or the public
• Detect, prevent, or address fraud, security, or technical issues
• Enforce our Terms of Service

Business Transfers

If Trade Agent is involved in a merger, acquisition, or sale of assets, your information may be transferred. We'll notify you before any transfer and ensure continued protection under this Privacy Policy.

We respect browser "Do Not Track" signals where technically feasible.

Data Retention

• Active Accounts: Data retained while account is active
• Financial Records: 7 years per legal requirements
• Deleted Accounts: Most data removed within 30 days, except as legally required
• Anonymized Data: May be retained indefinitely for analytics

Children's Privacy

Trade Agent is a business platform not intended for children under 18. We don't knowingly collect information from minors. If we discover we've collected data from a child, we'll delete it immediately.

International Data Transfers

Trade Agent operates from the United States. By using our Services from outside the US, you consent to the transfer and processing of your information in the US. We ensure appropriate safeguards are in place for all international data transfers.

California Privacy Rights

California residents have additional rights under the CCPA:

• Right to know what personal information we collect, use, and share
• Right to delete personal information (subject to exceptions)
