This Privacy Policy explains how we collect, use, share, and protect information about you when you use our website at thetradeagent.com, mobile applications, and related services (collectively, the "Services").

Our mission is to relieve administrative burden while fostering trust and transparency. Protecting your data is fundamental to that mission. We believe your business information belongs to you—we're simply trusted custodians helping you run your business more efficiently.

AI Estimating Data

• Photos of job sites and project areas

Financial Information

• Payment card and bank details (processed securely through Stripe—we never store full card numbers)

All service providers are contractually required to protect your information and use it only for providing services to Trade Agent.

Google Calendar Integration

Trade Agent offers an optional two-way Google Calendar sync. This section describes how we handle Google user data, in addition to the practices described elsewhere in this policy.

This integration is entirely optional. Trade Agent is fully usable without connecting a Google account, and you can disconnect at any time.

What we access

When you choose to connect your Google account, we request the https://www.googleapis.com/auth/calendar.events.owned scope, together with openid and email. The calendar permission lets us read, create, change, and delete events on Google calendars you own. Trade Agent uses it only for your primary calendar: we read its events, and we create, update, or delete the events that correspond to appointments you manage in Trade Agent. Other calendars are not imported or written to, and there is no calendar-selection step. We do not request permission to manage calendar sharing or to create or delete calendars. We use openid to identify the connected Google account and email to show you which account is connected.

What we store

We store the events we read from your primary calendar, including title, description, location, start and end times, recurrence rules, time zone, and attendee information as returned by Google, along with the event identifiers needed to keep the two calendars in step. We also store your Google account identifier and email address, and encrypted access and refresh tokens so that the sync can continue without asking you to sign in repeatedly. Tokens are encrypted at rest using AES-256-GCM and are cryptographically bound to your specific connection record.

How we use it

Google Calendar data is used solely to provide the scheduling features you see in the product: displaying your schedule, detecting scheduling conflicts, including your day in a daily brief you request, and answering your own questions about your schedule through our in-app assistant.

Automated processing

If you use our in-app assistant or ask for a daily brief, the calendar entries needed for that request may be sent to our AI provider, Google Gemini, to generate a response for you. This processing happens only when you make the request; no scheduled job sends your calendar data to an AI model. Events marked private are never included in another member's assistant responses or briefs. We do not use Google user data to train, retrain, or improve any generalized artificial intelligence or machine learning model. Our AI provider processes this data on our behalf under paid service terms that do not allow it to use the data to improve its own models.

What we never do

We do not sell, rent, or trade Google user data. We do not use it for advertising. We do not share it with third parties except the infrastructure and AI providers described in this policy, who process it on our behalf under contract. We do not add guests to your events or send calendar invitations or notification emails to anyone on your behalf.

Visibility within your organization

Appointments created in Trade Agent are visible to your organization. Events that are marked private or confidential in Google Calendar are marked private when imported: other members of your organization see only that you are busy at that time, never the title, location, or details. Other imported events are visible to members of your organization like any other appointment. Marking an event private in Trade Agent does not change its visibility in Google Calendar.

Retention and deletion

You can disconnect Google Calendar at any time from Settings → Integrations. Disconnecting stops all syncing, deletes our stored access and refresh tokens, and asks Google to revoke our access. You can also remove Trade Agent's access at any time from your Google Account's third-party connections page. When you disconnect, events previously imported into Trade Agent stay there by default; you can choose to remove the imported events that are not linked to a customer or project. Disconnecting never deletes anything from your Google Calendar. If you delete your Trade Agent account, imported calendar data is deleted along with the rest of your account data, as described under Data Retention below. To ask us to delete imported calendar data at any time, contact privacy@thetradeagent.com.

Compliance

Trade Agent’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Business Transfers

If Trade Agent is involved in a merger, acquisition, or sale of assets, your information may be transferred. We'll notify you before any transfer and ensure continued protection under this Privacy Policy.

Export your business data to move to another service or for your records.

Do Not Track

We respect browser "Do Not Track" signals where technically feasible.

Data Retention

We retain your information for as long as necessary to provide our Services and comply with legal obligations:

• Active Accounts: Data retained while account is active
• Financial Records: 7 years per legal requirements
• Deleted Accounts: Most data removed within 30 days, except as legally required
• Anonymized Data: May be retained indefinitely for analytics

Children's Privacy

Trade Agent is a business platform not intended for children under 18. We don't knowingly collect information from minors. If we discover we've collected data from a child, we'll delete it immediately.

International Data Transfers

Trade Agent operates from the United States. By using our Services from outside the US, you consent to the transfer and processing of your information in the US. We ensure appropriate safeguards are in place for all international data transfers.

California Privacy Rights

California residents have additional rights under the CCPA:

• Right to know what personal information we collect, use, and share
• Right to delete personal information (subject to exceptions)
• Right to opt-out of sales (we do not sell personal information)
